An Insurance Certificate (or Certificate of Insurance) is a document issued by an insurance company or broker to verify that a specific shipment is covered against loss or damage during transit. In international trade, where goods are exposed to risks like rough handling, theft, or maritime accidents, this document is a vital component of the "negotiable" set of papers.

It provides proof of protection and outlines the extent of the coverage provided to the policyholder.

1. Why is an Insurance Certificate Necessary?

Beyond simple peace of mind, the certificate serves several legal and financial functions:

  • Contractual Requirement: Under specific Incoterms (primarily CIF - Cost, Insurance, and Freight; and CIP - Carriage and Insurance Paid), the seller is legally obligated to provide insurance for the buyer’s benefit.
  • Bank Compliance: If the trade is being financed via a Letter of Credit (L/C), banks will refuse to release funds unless a valid insurance certificate is presented that matches the L/C requirements.
  • Claim Processing: If goods arrive damaged, the certificate is the primary document used to file a claim with the underwriter.

2. Essential Details in the Certificate

A valid certificate must contain specific data points to be accepted by customs and banks:

  • Policy Number: The unique identifier for the insurance contract.
  • Insured Party: The name of the entity covered (often the exporter, but the rights are transferred to the importer).
  • Description of Goods: This must align perfectly with the Commercial Invoice and Bill of Lading.
  • Sum Insured: The total value covered. Standard practice is to insure for 110% of the CIF value to cover the cost of the goods plus the anticipated profit/administrative costs of replacing them.
  • Scope of Cover: Details on whether it is "All Risks" (Institute Cargo Clauses A) or more restricted coverage.
  • Claim Agent Details: Information on who to contact at the destination port if a loss is discovered.
